Administrative Assistant to the President

The university is currently seeking a qualified individual to assume the role of Administrative Assistant to the President. Reporting directly to the President, the Administrative Assistant is responsible for the coordination, organization, and implementation of complex and confidential administrative projects of the President and responsibilities as they relate to the functions of the President's office. Frequent contact will occur with the university's Board of Trustees; local, state and national organizations; other university president offices; alumni, friends and major donors of the university.
Primary responsibilities include coordinating the flow of work in the President's Office; utilizing Microsoft Outlook and Teams to manage the President's calendar; using independent judgment to prioritize meetings; ensuring the President has all appropriate information and materials for any scheduled meetings. Managing logistics for events for which the President's office has primary responsibility. Serve as the first point of contact and principal communication channel for the office of the President. Must be able to maintain good rapport with all members of the campus community, including the Board of Trustees and President's Cabinet. Provide the highest level of professionalism and service to internal and external constituencies on behalf of the President. This position is also responsible for managing the office of the President including, processing incoming mail; answering and/or screening phone calls; ordering supplies; managing the office budget and processing invoices; and maintaining a procedure manual.
Qualifications include:
A Bachelor's degree from a four-year university or college; plus three years related administrative experience; or equivalent combination of education and experience. Must possess extensive knowledge of office practices and procedures, spelling, grammar and composition; must be proficient in the use of Microsoft Office-particularly Teams, Word, and PowerPoint; and must have the ability to work with a wide variety of individuals and maintain effective, diplomatic working relationships. Individual must have exceptional customer service skills, effective communication skills and be able to manage a highly complex office in an efficient and professional manner. Ability to maintain confidentiality in all aspects of the position is critical.
